Residency Options (All Students)

Walden University offers many options to meet residency requirements. For a list of scheduled residencies please visit the Residency Calendar. Find your program on the navigation bar on the left (Ph.D., Ed.D., or M.S. MHC) to see which residencies are open for registration.

Residency Registration Policy (All Students)

Registration for Academic Residencies opens four (4) times a year for upcoming residencies.  Dates for registration are posted on the Academic Residencies web site. Check the website for your program (menu at left for Ph.D., Ed.D., or M.S. MHC) to see which residencies are open for registration.

Register Early
Residency registration is on a first-come, first-serve basis.  Please register early to guarantee a place in the residency.  If you register less than three weeks prior to the residency, you are not guaranteed to have your name included in all printed materials.

Wait List
Students who request to register after the residency has reached its maximum capacity may be placed on a wait list and contacted if space becomes available.

Wait For A Confirmation Email
Within seven (7) days of submitting an online registration form for a particular residency, students will receive a Confirmation Email.  If students do not receive a Confirmation Email within 7-10 days of the time they submitted the online registration form, students should contact residencies@waldenu.edu to inquire about the status of the registration request. The Confirmation Email will include detailed information necessary for attending that residency.

Wait to Confirm Travel
Please remember NOT to make any travel reservations prior to receiving the Confirmation Email which confirms residency registration and includes details about when and where to be for the residency.

Travel and Lodging Procedures (All Students)

All students must attend the entire residency. When planning travel to attend the entire residency, students should allow enough time for travel between hotel and airport, and getting to the airport well before their flight.

Costs
Travel, lodging and most meal arrangements and costs are the responsibility of the student. The University negotiates a reduced sleeping room rate at residency venues, which typically includes additional amenities such as high-speed Internet access. Students must ask for the Walden University rate and make reservations prior to the deadline indicated in the Confirmation Email to receive the discounted rate.

Sleeping Room Reservations
Students are encouraged to make their hotel reservation early to ensure the availability of rooms at the residency. If the Walden room block fills prior to the reservation deadline, the venue reserves the right to increase the room rate. Availability of rooms at the residency venue decreases as the residency approaches so students are encouraged to act fast to reserve a room. However, students may choose to stay at any venue of their choice. Hotel reservations may be cancelled with the venue by the student according to the venue's policy.

Wait for A Confirmation Email
Students should NOT make any travel or lodging arrangements until they have submitted a registration request and received the Confirmation Email.

Residency Arrivals and Departures (All Students)

Students will receive a Confirmation Email with requirements for arrival and departure times after the Residencies Team has processed the request for registration.  Students should NOT make travel arrangements prior to receiving the Confirmation Email from the Residencies Team.

Students must participate in the entire residency.   Students who leave early or arrive late jeopardize successful completion of the residency.

Residency Attendance Policy (All Students)

Students are expected to sign-in at various times during each residency. Required and optional sessions will be noted in the Program Book, which is posted on the residency's eCollege site about two weeks prior to the residency. A Program Book is also provided to each student at the residency check-in. Students who arrive late or leave early jeopardize successful completion of the residency. Students who cannot attend the residency in its entirety should register for a different residency.

Payment Policy (All Students)

Residency fees are billed and collected in accordance with the University's billing cycle.

Financial Aid and Residencies
Registering for a residency only in any quarter or semester (without a course or KAM registration) will not qualify students for receipt of federal financial aid.  Therefore, any pending federal financial aid for a quarter/semester in which a student is only registered for a residency will be cancelled. If it is not possible for a student to register for a course or KAM along with the residency, the student may want to explore the possibility of applying for a private educational loan through a private lender.  Visit our website at http://www.waldenu.edu/ to obtain a list of lenders who offer private educational loans.

For Financial Aid - Register Early
In the event a student's account is charged for a residency prior to a scheduled loan disbursement, that loan disbursement will be used to cover the residency fees (this does not include travel expenses).  Therefore, students are strongly encouraged to register for a residency as soon as possible but no later than two (2) weeks prior to the start of the quarter/semester of the residency.  Should charges for a residency post to a student's account after the loan has been disbursed and a refund has been released to the student (if applicable) the student will be responsible for paying residency fees from his or her own resources.

Billing Questions
Any questions about billing should be directed to the Bursar's Office.

Costs
All students are responsible for costs and arrangements of all travel, lodging, and most meals for each residency.

Cancellation Policy (All Students)

All residencies must be cancelled, in writing, by the cancellation date (included in the Confirmation Email and listed on the webpage) for the specific residency.  This date is typically 10 days prior to the start of the residency (usually international residencies have an earlier date). Students can cancel a residency prior to the cancellation date by completing the Residency Cancellation Form and attaching it to an email to residencies@waldenu.edu.

Students who do not cancel before the cancellation date and who do not have approval through the petition process will be billed and expected to pay for the residency whether or not they attend the residency.

Emergencies
After the cancellation date, students who experience an emergency and need to cancel must submit a Residency Petition Form to request a refund of residency registration fees.  Students will be asked to provide documentation supporting the student's need to cancel the registration. Documentation should provide evidence that the reason for late cancellation is valid and unforeseeable. Petitions and supporting documentation must be submitted to the Residencies Team no later than two weeks after the residency ends. There are no exceptions to this policy.
